Kipling is committed to protecting the privacy of Personal Information in compliance with applicable federal and provincial privacy legislation. Personal Information means information about an identifiable individual but does not include the name, title, business address or telephone number of an employee of an organization.

Our Privacy Statement describes the Kipling policies and practices with respect to the collection, use, disclosure, retention and destruction of Personal Information in our commercial activities.

We collect personal information from our clients, tenants, customers, potential customers and employees in the regular course of conducting our business. We limit the collection to only information that is necessary to fulfill our obligations, received voluntarily, publicly available and where required or permitted by law.

We collect Personal Information to provide investment, management and related services including but not limited to property acquisitions and sales; leasing; maintenance and other asset and management or investment related activities; comply with and/or enforce agreements; verify credit worthiness; manage communications and maintain relationships; collect and process rental payments and operating costs; recruitment, selection and employment purposes; address enquiries, service needs and marketing or evaluating our services; emergency or incident response; detection and prevent of fraud, loss or damage; and, comply with any applicable professional standards, laws and regulations.

Protecting privacy is extremely important to Kipling and we will take all reasonable measures to safely store and safeguard Personal Information in our possession from unauthorized access. Access to Personal Information is limited to those employees who have a need to know and who are properly trained to deal with such information in a confidential manner. Our web site also contains links to convenient third party services for our tenants, clients, employees and visitors which Kipling does not control. When collecting or disclosing sensitive or potentially sensitive information, we will obtain express consent from our customers. For example, if we collect personal financial information for a transaction, your consent is given within the signed application form. By using our services, you are consenting to the collection and use of personal information by Kipling, its affiliates and agents, for the purposes set out in this Privacy Statement.

You can “opt-out” and withdraw your consent at any time, with reasonable notice, by contacting the Privacy Officer at the address below, subject to legal or contractual commitments and/or restrictions.

We may collect or use personal information in certain very limited circumstances without the knowledge and consent of the individual, in compliance with the respective privacy acts and rights at Law.

We do not share or sell personal information with third parties except with companies we engage to provide you with the building and real estate services, legal, accounting, financial and other advisors involved in our operations, legal and law enforcement agencies, government and regulatory agencies as required. For example, when you lease space, we may pass on your personal information to a credit reporting agency so we can complete a credit check. We may also pass on your name and address to credit reporting agencies, law enforcement agencies, legal services, insurers, security providers, clients, leasing agents/brokers, suppliers, and third party contractors (such as courier, cleaning and security services, etc.) during the course of our relationship.

We have implemented physical, electronic, and procedural security safeguards appropriate to the circumstances and sensitivity of the information. Our contracts and agreements with our employees, agents, third party suppliers and service providers include specific provisions and responsibilities with respect to confidentiality including Personal Information we may share with them. Our Website and computer systems are protected by encryption and firewalls. We have controls to protect unauthorized access to our files and information. We will safely destroy any personal information that is no longer needed for the purpose that it was collected in accordance with our Records Retention programs and in a confidential and secure manner.

Kipling has designated a Privacy Officer who is responsible for privacy compliance. This person has the authority to intervene on privacy issues relating to Kipling’s operations.
